Katugume sunny has good leadership skills, self driven with high level of integrity and good 

interpersonal skills. For two years she worked with Central school Hoima as Assistant Mayoress and an award of a certificate was obtained. 

I managed to work with Hoima regional referral hospital in 2013 for 2 months as i was gaining


 experience in the management of hospital records.

AUTOMATION OF RECORDS MANAGEMENT SYSTEM


Automation refers to the use of computers and other automated machines for the execution of business related tasks. Automated machines may include simple and sophisticated equipment. 

 Automation can also be defined as the act of implementing the management of equipment with highly developed technology usually involving electronic hardware.

 It can be the use of computers to control specific process to intensify effectiveness and reliability though the replacement of employees. Automation can also be referred to as carrying out any task with the help of a machine which ultimately reduces the human effort. Automation can also be referred to as a representation of procedures made while mechanizing activities previously done manually. In other words, automation is all about the use of all machinery to make library’s work / records management work easy


Examples of automated machines may include computers, photocopiers, automated teller machine, microfilm machine. In the context of records and archives management, automated records are those records created, stored and retrieved using machines which may include a computer. For instance in hospitals, patient files can be automated by the use of a computer. This can be done by entering the information from the patient manual files into the computer system created to manage patient files; this reduces problems of shortage of storage space, and hence easy retrieval of a required file. 

While, 


Computerization can be referred to the process of taking tasks using computer. Computerization can also be referred to as the act of using specifically a computer to assist in various activities.

 Computerization is like having all activities done by the use of a computer for efficiency and effectiveness of the organization. For example in the maker ere university’s main library, there is library computerization where retrieval of a given document/ book is aided by the use of a computer in terms of its location. 

Whereas,

 Digitization refers to the conversion of information in any form, for example image, sound, text, photographs to a digital form with suitable electronic devices such as a scanner so that the information can be processed, stored and transmitted through digital networks.

 Digitization can also be referred to as the representation of an object, image by a discrete set of points. Digitization in a simple language can be referred to as a process of converting paper based information into digital form, mostly by the use of a digital scanner.

This implies that , the document after conversion , it is stored on the digital media like hard disk drive, CDROM, flash disk to mention but a few. This can easily be accessed using a computer or any other automated machine.
 This provides room for document backups since a digital copy can be used in case the original document gets missing or damaged

Today in Archives microfilming is being replaced by digitization which seems to be similar. In the nutshell, automation, computerization and digitization seem to be the same but there is a difference as explained above which all cut across Electronic records.

PROJECT SUMMARY: The project of constructing a records storage facility in Hoima Regional hospital will take a period of one year. By the time the project is completed, it will help the information users to easily access records needed at a particular time. The project will be undertaken due to the many challenges which the records department has been facing for instance poor records storage and retrieval partially due to shortage of a designated place for records.  The records storage facility will have four main floors including the one for a records center for current records, a registry holding records in a semi current stage waiting for disposition or archival and an archive for records of permanent value.


THE ORGANIZATIONAL HISTORY
 HISTORICAL BACKGROUND OF THE HOSPITAL:
The hospital was established in 1910 as Hoima hospital under the ministry of health. In 1998 it became a referral hospital for Hoima district where other health centers in the district could refer their patients. In 2002 it became a regional referral hospital covering areas of Masindi, Hoima, Kibale, kiryandongo, kiboga and Buliisa. Therefore all health centers in the districts mentioned refer their patients to Hoima regional referral hospital up for further treatment. The hospital still operates as a regional referral hospital up to present day.

  MISSION:
To provide specialized and limited general curative, preventive, health pro motive and rehabilitative health services to Bunyoro kitara region for improved quality of life.

VISION:
 To become a center of excellence for provision of high quality general and specialized health services for a healthy and productive population in Bunyoro kitara region.

THE BACKGROUND AND ANALYSIS OF THE PROBLEM TO BE ADDRESSED
How far has Hoima Regional Referral Hospital been effective in records management? Hoima Regional Referral Hospital being one of the referral hospitals in Uganda, it generates a lot of health services to the population of Uganda. This means that, the hospital generates, receives and maintains volumes of both medical records and non medical records which need proper care to provide continued access to such records. However, the hospital faces a lot of challenges in records management. For example not enough funds from the government to even support the records department, lack of enough storage space for records, embezzlement of funds meant for supporting records management, poor records disposition policy and so many challenges. Therefore there is need for the establishment of a records storage facility which will help in curbing such challenges and hence good records management system at the hospital.


THE PROJECT GOAL
To construct the best records storage facility for Hoima Regional Referral Hospital

PROJECT OBJECTIVES
To ease records storage and retrieval in time
To help in determining the records retention and disposition policy
 To curb the challenges facing the records department
To enhance a proper classification and filing system

PROJECT IMPLEMENTATION PLAN
The project will be implemented by considering the project plan. Actually project implementation will be done by starting on the actual construction of the records storage facility. This will be started on 5th July 2014 and it should be completed on 5th July 2o15, a period of only one year. This will be done by executing all the project activities to produce the project deliverables, the project activities will include,
·         Planning for the project
·         Identifying and surveying the land
·         Clearing the land and delivery of the building materials
·         Actual building of the facility
·         Installation of equipments
·         Monitoring and evaluation
·         Formal handover
